What Is an Emergency Kit Location Record?

An emergency kit location record is a one-page document stating where each emergency kit in the practice is kept, how it is accessed, who is responsible for checking it, and when it was last confirmed in place. It answers the question that costs the most time in a real event: where is it, and can I get to it right now?

Why location needs its own record

Kits move. A cabinet gets reorganized, a room is repurposed, a lock is added, or a second kit is bought for a new room and nobody updates the binder. The contents checklist may be perfect while the kit itself is somewhere nobody expects. A location record, checked on a schedule, catches the move before it matters.

Access is part of location

A kit in a locked cabinet is only useful if everyone on shift knows who has the key or code. The record should state how the kit is accessed and what happens when the usual key holder is not on site. Access details should be handled according to the practice's security arrangements and not posted where patients can see them.

Keeping it current

Confirm the location on the same schedule as the kit contents check, and record the confirmation. When a kit moves, update the record the same day and tell everyone on the orientation list. A drill that includes retrieving the kit is the best test of whether the record is right.

• Kit name or identifier
• Room and exact location
• Access method and key holder
• Backup access when the key holder is absent
• Responsible person for checks
• Date location last confirmed
• Date of last move and who was notified
